Each paper must be presented by the author of the paper in person at the conference. The TPC Chairs may grant requests for permission to have the paper presented by a substitute presenter under certain circumstances. A request for a substitute presenter must be sent to the TPC Chairs in advance before the conference date. The author, co-author or representative of the papers would be required to be present during the Q&A session and must be ready to answer any questions from the virtual audience.
Authors of no-show papers wishing to appeal the no-show status of their paper must appeal by email to the IconSpace 2025 organising committee (iconspace@ukm.edu.my), no later than 30 days after the start of IconSpace 2025 and provide evidence to convincingly demonstrate that their absence was as a result of forces beyond their will and control or that an erroneous decision was made. Possible evidence for exceptions includes:
- Medical documents
- Death notices
In addition to this policy, the main author of the paper is not allowed to add or drop a co-author when the papers are accepted for publication.
